Illness Policy

If a participant has experienced a gastro illness resulting in diarrhoea, they must not attend swimming lessons with The Village Swim School for a minimum period of one (1) week.

 

Payment Policy

You understand that full payment is required at the time of enrolment with The Village Swim School. These are done on a term by term basis.

 

Risk Management

You acknowledge that The Village Swim School, its staff, and associated instructors will make every reasonable effort to minimize exposure to known risks. However, not all hazards and dangers associated with the swimming pool environment used can be foreseen or may be beyond the control of The Village Swim School, its staff, or associated instructors (including, but not limited to, weather conditions).

 

Agreement to Terms

By enrolling in our program, you acknowledge and agree to the terms and conditions set out below.

 

Supervision Requirements

Children must not be left unsupervised or unattended at any time.We encourage active supervision and avoiding being distracted by the use of mobile phones or other electronic devices

 

Nature of Activities and Risk

As the parent/guardian of the participant, you declare that you understand that learn to swim classes may involve jumping,immersion in water, and the use of specially designed teaching equipment. These activities may expose your son/daughter to situations and physical activity not normally encountered in a classroom environment.

 

Missed Lessons and Make-Ups

One (1) make-up lesson per term may be granted where The Village Swim School is notified prior to the participant missing the scheduled lesson. This make-up lesson must be used within the same term in which it is granted and will expire at the end of that term. Any further missed lessons will not be eligible for make-ups unless a valid medical certificate is provided, clearly stating the reason for the participant’s absence. All make-up lessons granted on medical grounds must be used within the same term and will expire at the end of that term. No refunds will be issued for missed lessons under any circumstances.

 

Health Disclosure

If any relevant health issues arise or are known in relation to the participant, you must notify The Village Swim School instructors prior to participation.This could include but not limited too known learning difficulties., intellectual impairment, difficulties with sight and hearing as well as physical injury or illness

 

Emergency Medical Authorisation

In the event of injury or illness where consent cannot be obtained, you authorise The Village Swim School and its authorised agents to obtain medical treatment. You agree to be liable for all associated costs.

Swimmer Nappies

If the participant is not toilet trained, they must wear disposable swimmer nappies at all times while in the pool.

 

Leaving the Pool Area

Children must be fully dressed before leaving the pool area.

 

Instructor Substitution

You understand and acknowledge that a replacement or substitute instructor may facilitate a class at short notice due to illness, injury, personal leave, or other unforeseen circumstances affecting the usual instructor. The use of a replacement or substitute instructor does not constitute grounds for a refund, credit, transfer, or make-up lesson, as the lesson will still be deemed to have been delivered.

 

Photography and Media

The Village Swim School may take photographs or videos of participants, parents, or guardians for marketing and/or staff training purposes unless you advise otherwise. Photography or video recording by parents or caregivers is not permitted, in accordance with legislation effective from 2025. We will always ask before using a photo for soical media purposes but please email us if you wish to opt out at the start of term.

 

Privacy and Personal Information

You consent to The Village Swim School collecting and using personal information for the purpose of conducting swimming lessons.

 

Enrolments, Cancellations and Refunds

Enrolments are confirmed for the full term once payment has been received. As places are limited, no refunds, credits, or transfers will be provided once a term has commenced.

 

Assumption of Risk and Personal Property

Participants, parents, and guardians assume all risk for any damage or loss arising at The Village Swim School. Personal belongings are brought onto the premises at your own risk.

 

Service Interruptions

In the unlikely event that The Village Swim School is unable to deliver the intended service due to illness, maintenance, pool closure, or natural disaster, a credit will be applied to the participant’s account to the value of the affected lesson. Credits must be used in the following term. Any variations to this policy are at the discretion of management.

 

Responsibility Outside Lesson Time

The Village Swim School staff and instructors accept responsibility for supervising the participant only while they are directly involved in a scheduled lesson. At all other times, including but not limited to entering the premises, accessing pool areas, changing, and exiting the premises, supervision remains the responsibility of the parent or guardian.

 

Acknowledgement

By enrolling, you confirm that you have read, understood, and agree to all of the above terms and conditions.

You acknowledge that The Village Swim School, its staff and associated instructors will make every reasonable effort to minimize exposure to known risks. All hazards and dangers associated with the various venues used cannot be foreseen or may be beyond the control of The Village Swim School, its staff or associated instructors, e.g., weather conditions.

Participants are not to be left unsupervised and unattended at any time.

If participants have had a gastro illness that has resulted in diarrhea, they must not attend swimming lessons with The Village Swim for one week.

There are no make-up classes are given if my child misses their class. A make-up lesson will only be given if a medical certificate is presented, explaining the reason for missing swimming lessons. Up to three per term will be honoured on this basis. Make-ups must be used within the same term they are granted. Make-ups will expire at the end of the term. No refund or credits will be given.

In the unlikely event that The Village Swim School cannot deliver the intended service due to illness, maintenance or natural disaster, a credit will be applied to the account to the value of the lesson for use in the following term. Any variations to the policy will be made at the discretion of management.

The Village Swim School staff and instructors accept responsibility for supervising the participant while directly involved in a lesson. At all other times, the parent or guardian is responsible for the supervision of the participant. The Village Swim is not responsible for the participant entering premises, and pool areas, changing, exiting premises and pool areas and any non-lesson time – this is the responsibility of the parent or guardian.

If any relevant health issues may arise for the participant, you must alert The Village Swim School instructors.

You understand that at times a replacement instructor may facilitate my child’s class at the last minute due to the illness or injury of the usual instructor.

In the event of any injury or illness to the participant where it is not possible or reasonable to obtain your consent at that time, you authorise The Village Swim School and any of its employees and duly authorized agents to engage any ambulance, medical practitioner or hospital facilities or accommodation to treat the participant. In this event, you will be liable to pay all such emergency evacuation, ambulance, doctor, nurse and/or hospital expenses incurred.

If the participant is not toilet trained, the participant must always wear disposable swimmer nappies whilst in the pool. Regular nappies are not appropriate for use in the pool.

Children must be dressed before leaving the pool area.

The Village Swim School may take photos or videos of the participant, parent or guardian, which may be used for marketing purposes and/or staff training. If you do not wish for this to occur, please alert The Village Swim School staff.

The participant and all parents and guardians assume all risk for any damage or loss (including property damage, personal injury, and economic and consequential loss); however, it arises at The Village Swim School.

Personal effects are brought to The Village Swim School at your own risk. The Village Swim School will not be responsible for any damage to or loss, or theft of the participants or parent or guardian’s personal property.

You consent to The Village Swim School using the participant’s and your personal information on this form to conduct swimming lessons.
